Data analytics companies in South Africa: how to choose one

Data analytics companies in South Africa sell very different things under the same name: dashboards, data engineering, statistical analysis and, increasingly, AI that reads documents. Here is what each type of work is for, how to choose a partner, what it costs in rand and the questions that separate something your team uses every week from an expensive report nobody opens.

The position

Start from the decision you want to make faster, not from the tool. "We want Power BI" is a tool; "we want to know every Monday which branches are losing margin and why" is a decision. A good analytics partner asks for the decision first, then builds the smallest thing that answers it reliably, from data you already have.

The work that pays is the work people use: a report that arrives on its own, a dashboard that is opened every week, or a system that answers questions from your documents with the source attached. That is how we approach data intelligence, and there are examples on our Work page.

What data analytics companies actually do

Most providers specialise in one or two of these. Know which one you need before you compare quotes.

01

Dashboards and reporting

Turning figures you already record into dashboards in tools such as Power BI or Looker Studio, or into a short report that arrives by email or WhatsApp each morning.

Most common

02

Data engineering

Getting data out of your POS, accounting, CRM and spreadsheets into one clean, trusted place, updated automatically. Every other kind of analytics depends on this.

Foundations

03

Analysis and forecasting

Answering specific questions, such as which customers are likely to leave or how much stock to order for December, with statistics or machine learning.

Questions

04

Documents and unstructured data

Reading contracts, invoices, tenders and emails so their contents can be searched and counted, with every answer linked to its source.

AI

05

Data quality and clean-up

Fixing duplicate customers, inconsistent product codes and missing values so reports can be trusted.

Clean-up

06

Training and handover

Teaching your team to maintain and extend what was built, so you are not dependent on the provider for every change.

Ownership

How to choose a data analytics company

The same questions work whether you are talking to a large consultancy, a Power BI specialist, a freelancer or a studio like ours.

Starting point

A good sign
They ask what decision you want to make and how often.

A warning sign
They start with the tool, the licence or a data warehouse.

Your data

A good sign
Everything is built in your own accounts, and you keep full access.

A warning sign
Your data and reports live in their environment.

Price

A good sign
A fixed price for a defined outcome, with running costs stated.

A warning sign
Open-ended hours or a long discovery phase before anything is built.

Proof

A good sign
They show similar work and explain how numbers are checked.

A warning sign
Beautiful dashboards with no explanation of where the figures come from.

Privacy

A good sign
They explain how personal information is handled under POPIA.

A warning sign
Customer data is copied to spreadsheets and emailed around.

Handover

A good sign
Documentation and training, so your team can maintain it.

A warning sign
Only they can change anything.

A self-service BI tool, or a built reporting system?

Both have a place. The right one depends on who will maintain it and how clean your data is.

Self-service BI tool

What it is
A tool such as Power BI or Looker Studio that your team uses to build its own dashboards.
Best for
Businesses with a confident in-house analyst and data that is already fairly clean.
Costs
Licence fees per user, plus the time your team spends building and maintaining it.
Risk
Dashboards break when source systems change, and nobody notices until the numbers look wrong.

A built reporting system

What it is
Data pipelines, checks and reports built for your decisions, delivered where people already look.
Best for
Businesses without an analyst, or with data spread across several systems.
Costs
A fixed build price, then low running costs, with support optional.
Risk
Changes need a developer unless the handover includes training.

What data analytics work costs

Indicative ranges in rand for a studio that builds and hands over. A fixed quote replaces them once the scope is written down. See how much custom software costs for the wider picture.

A focused report or dashboard

~R20k to R80k

One to three data sources, a clear set of questions, and a report or dashboard that updates itself.

A reporting system

~R80k to R350k

Several sources joined and cleaned, automated checks, and reporting for different teams or branches.

A data platform

R350k+

Company-wide data, forecasting, document intelligence and systems built on top of it.

Running costs

Monthly, by scope

Hosting, any BI licences per user, and optional ongoing support at a defined monthly figure.

Indicative ranges, not a quote.

How an analytics project runs

  1. 01

    Name the decision

Which question must be answered, for whom, and how often. This defines what done means.

  2. 02

    Check the data

Where the figures live, how clean they are and who can grant access. Surprises here are what blow budgets, so we look first.

  3. 03

    Fixed quote in rand

One fixed price for the defined outcome, with running costs stated.

  4. 04

    Build and verify

Pipelines, checks and the report itself, with every figure traceable back to its source.

  5. 05

    Deliver and hand over

The report lands where people already look, and your team gets documentation and training.

Personal information and where your data lives

Customer, employee and patient data falls under POPIA, which governs how it is collected, stored and shared. Ask any provider where your data will be stored, who can access it and whether it is sent to outside AI services. We build in your own accounts by default. See how we handle this in data intelligence.

Data analytics companies: common questions

What does a data analytics company do?

It turns data a business already has into answers it can act on: dashboards and reports, the data engineering that feeds them, analysis and forecasting, and increasingly AI that reads documents such as contracts and invoices.

How much does a dashboard cost in South Africa?

A focused dashboard or automated report on one to three data sources typically runs roughly R20k to R80k to build, plus hosting and any per-user licence fees. Larger reporting systems cost more. A fixed quote against a written scope avoids surprises.

Do we need Power BI?

Not necessarily. Power BI is a good choice if someone in your team will build and maintain dashboards. If nobody will, a report that arrives by email or WhatsApp each morning is often more useful and cheaper to run.

Can analytics work with messy spreadsheets?

Yes, but cleaning comes first. Part of the work is fixing duplicates and inconsistent codes and setting up checks so the reports stay trustworthy as new data arrives.

Who owns the reports and the data?

You should. Pipelines, reports and data should sit in your own accounts, with documentation, so you can change providers or maintain it yourself.
